Our information-handling approach

Under AVC’s Quality Management System (QMS), our approach is to use enquiry information for a clear business purpose, limit access to those who need it and retain records only while they are needed.

01

Who is responsible

Add Value Consultancy Ltd is responsible for the personal information received through this website’s AVC enquiry routes.

Company number
SC678136 · registered in Scotland
Registered office
Spaces 1 Marischal Square, Broad Street, Aberdeen, Scotland, AB10 1BL

You can contact us by email or write to our registered office, marking your request “Privacy”. This notice covers visitors and website enquiries; project work may have additional contractual privacy arrangements.

02

When you make an enquiry

Our enquiry page embeds Microsoft Forms. When you submit the form, Microsoft receives your answers on AVC’s behalf, and the form displays a submission confirmation. AVC uses Microsoft 365, including Power Automate and a private Microsoft Lists register, to record the request, notify the relevant contact and send an acknowledgement to the email address you provide.

The form asks for your name, work email, organisation, selected business or service, preferred office, asset type, your challenge and any relevant service, product, course or project. Only some fields are required. Links from AVC pages may pre-fill public service or project context, which you can review and change. Please include only what is needed for an initial discussion.

Enquiries are sent to our central receiving mailbox and the responsible office contact, with unassigned enquiries monitored by Hossam Aboegla. We aim to reply within two working days. If you contact us directly by email instead, we receive your message and subsequent correspondence through our email service.

Sending an enquiry does not subscribe you to marketing. Our newsletter subscription is offered separately on LinkedIn.

03

How we use your details

We use business contact and enquiry information to understand your request, direct it to the relevant AVC contact, respond, discuss a possible scope and maintain the correspondence needed for that discussion.

For business enquiries, our legitimate interests are in responding to prospective clients and managing business relationships. We limit use to information needed for those purposes. Where you are personally the potential contracting party, we may also process information to take steps at your request before entering a contract. We may retain or disclose information where a specific legal obligation requires it.

The workflow automatically routes enquiries and sends acknowledgements; it does not make decisions with legal or similarly significant effects about you. AVC colleagues review the request and decide how to respond. We will review this notice before introducing a new CRM, marketing activity or visitor analytics.

04

Access, security and sharing

Our QMS approach is to limit access to enquiry records to authorised people who need the information to respond, support a proposal or manage the resulting business relationship. This may involve relevant AVC colleagues in the UK, UAE or Egypt. Information is to be handled confidentially, with access and security measures proportionate to its nature and purpose.

Email, hosting and IT service providers may process information as part of supplying their services. Our policy is to select providers with regard to their data-protection responsibilities and to put appropriate contractual arrangements in place where required. Professional advisers or authorities may receive relevant information where necessary for advice, a legal requirement or a legal claim.

Access outside the UK

Where handling an enquiry involves sharing information with, or granting access to, a colleague or service provider outside the UK, AVC’s policy is to assess the applicable data-protection requirements and establish any legally required transfer arrangements before that access or sharing takes place.

Contact our privacy mailbox for information about the locations, recipients and transfer safeguards relevant to your enquiry, including how to obtain a copy of any applicable safeguards.

05

How long information is kept

Our QMS approach is to retain enquiry information only for as long as it is needed for the purpose for which it was received, related business follow-up and any applicable record-keeping obligations.

We determine the appropriate retention period by considering whether the enquiry remains active, whether it leads to a proposal or client engagement, the need to maintain an accurate business record, and any applicable legal, contractual, accounting, insurance or claims requirements.

Our policy is to review the continuing need for these records and securely delete or anonymise information when there is no longer a justified purpose for retaining it. Where a record must be kept for a legal obligation or claim, access and further use are to be limited to that purpose. Contact our privacy mailbox if you would like to ask about the retention of your enquiry or request deletion.

06

Cookies and embedded news

AVC has not added its own visitor-analytics tags, advertising pixels or a preference cookie to this version of the website. Our fonts and site images are served with the website. Hosting, account access and embedded external services have their own data practices, described below.

Embedded enquiry form

Loading the enquiry form connects your browser to Microsoft. Microsoft may process technical information, such as IP address, browser and device details, for service operation and security, and may use cookies or similar technologies. See Microsoft’s privacy statement. You can email AVC directly if you prefer not to use the embedded form.

Embedded LinkedIn news

The Insights page displays posts from our LinkedIn page through EmbedSocial. The embedded feed loads automatically when you visit Insights.

Loading the feed connects your browser to EmbedSocial and may load LinkedIn or other provider resources. These providers may receive your IP address, browser and device information and the page you are visiting, and may use cookies or similar technologies for their own service, measurement or tracking purposes. See the EmbedSocial privacy policy, EmbedSocial cookie policy and LinkedIn privacy policy.

You can use your browser settings and the providers’ privacy controls to manage or block cookies and similar technologies. Blocking external resources may affect how the feed is displayed. AVC’s website does not store a separate news-feed preference.

Hosting and external links

This website is hosted using OpenAI’s ChatGPT Sites service. The hosting and, where required, sign-in service may process technical information such as IP address, device and browser details, request times, security logs and account information. Platform cookies and privacy settings are managed by the hosting or account service. See OpenAI’s privacy information, including its EEA, UK and Switzerland privacy policy where applicable.

Following an external link takes you to another provider. LinkedIn manages its own page visits, accounts and newsletter subscriptions. The AVC website does not collect newsletter subscription addresses through a website signup form.

08

Your rights and requests

Depending on the circumstances and the law that applies, you may have rights to access your information, correct it, request deletion, restrict processing, object to certain uses and receive or transfer certain information. These rights are subject to applicable conditions.

Send privacy requests to info@addvalue-consultancy.com. Tell us enough to identify the relevant correspondence and what you would like us to do. We may need proportionate information to verify your identity. We will respond within the time required by applicable law.

If you are concerned about how AVC handles your information, please contact us. You can also raise a concern with the UK Information Commissioner’s Office (ICO), or the relevant authority where you live or work.
